Tokei Kyokushinkai Karate: Terms & Conditions

Welcome to Tokei Kyokushinkai London. Please review our membership terms, safety protocols, and safeguarding policies below. By submitting your membership application, you agree to abide by these rules and procedures.

1. Membership Fees (Annual)

• Note: A separate membership form must be completed for every individual child.

2. Safeguarding & Child Welfare

The safety of our students is our highest priority.

• DBS Checks: Our Lead Instructor holds an Enhanced Disclosure and Barring Service (DBS) check. All volunteers with regular, unsupervised access to children also undergo mandatory DBS screening.

• Welfare Officer: Senpai Dominique Rouch serves as our Club Welfare Officer. They are the first point of contact for any concerns regarding child protection.

• Zero Tolerance: We do not tolerate physical or verbal abuse. Incidents of this nature are treated with the utmost seriousness and may lead to immediate expulsion.

3. Nature of the Sport & Risk Disclosure

Kyokushinkai is a robust, physical martial art. It is a combative system involving physical contact designed for both attack and defense.

• Physical Contact: Training involves significant physical exertion. Like rugby or boxing, injuries can occur. While we make every effort to minimize accidents, impact-style injuries (such as bruising) are possible.

• Competitions: There is a higher risk of injury in competitive settings. Students will be specifically prepared for this to ensure they can compete safely.

• Insurance: Membership provides Public Liability (Member-to-Member) insurance only. It is the responsibility of the parent or guardian to obtain additional Personal Injury Insurance if desired.

4. Medical Information & Privacy

To ensure a safe training environment, we must be informed of any medical conditions or impairments.

• Confidentiality: Medical data is held strictly confidential and shared only with instructors in direct contact with the student or the Welfare Officer.

• Emergency Care: In the event of an injury, we will make every effort to contact you immediately. By signing, you consent to your child receiving necessary medical treatment from a qualified practitioner if an emergency arises.

5. Photography & Social Media

We occasionally take photos and video footage during classes and tournaments for promotional purposes and club highlights.

• Policy: All media is captured and shared in accordance with our Social Media Policy.

• Consent: By joining, you consent to the club filming or photographing your child’s involvement. If you have concerns about image use, please contact the Welfare Officer.

6. Junior Club Rules & Respect Values

All junior members are expected to uphold the spirit of martial arts:

• Respect for Coaches and Instructors.

• Respect for fellow students within the Dojo.

• Respect for opponents during sparring and competition.

• Equipment: Students must wear an abdominal protector, head guard, gloves, and shin/instep guards at all times during sparring.

7. Declaration & Agreement

By signing the membership form, you confirm the following:

1. Participation: You agree to your child taking part in all club activities and training aspects.

2. Conduct: You and your child agree to comply with club rules and “Respect Values.”

3. Accuracy: To the best of your knowledge, all medical information provided is accurate.

4. Responsibility: You have legal responsibility for the child and have explained the contents of this agreement to them.

5. Data Protection: You understand that your data is processed in accordance with UK GDPR and the Data Protection Act 2018 for the purposes of club administration and safety.
